Why I Regret Choosing Gusto for Payroll Management
As a small business owner, selecting the right tools to manage operations is crucial. Unfortunately, I learned this the hard way when I decided to use Gusto for payroll. Despite hearing several warnings, I opted for Gusto, hoping it would streamline my payroll processes. Instead, it led to an unexpected and challenging situation.
Recently, Gusto automatically processed a payment of 80 hours for an employee who hadn’t logged any hours, simply because I hadn’t manually input their hours. The result? I’m now in the uncomfortable position of requesting those funds back from an employee who is no longer with our company, because Gusto doesn’t have the capability to recall such payments.
Certainly, a meticulous review of the payroll might have caught this error before it happened. However, small business owners rely on software to make our lives easier, not to demand constant oversight to catch potential blunders caused by poor programming.
After this experience, I can no longer endorse Gusto. Even when it operates without errors, its efficiency and reliability have left much to be desired. For other business owners contemplating Gusto, I advise thorough research and consideration of more dependable alternatives.

Thank you for sharing your experience with Gusto; it’s critical for small business owners to hear the real-world implications of choosing the right tools for payroll management. Your situation highlights a crucial point about the importance of software reliability and the need for robust oversight mechanisms, even when using automated systems.
One aspect worth considering is the availability of backup measures—such as configuring alerts for unusual payroll entries or implementing a secondary approval process for payments. Additionally, I would recommend exploring payroll software that offers more comprehensive customization options or robust customer support to handle such anomalies effectively.
Have you considered alternative payroll solutions, or do you have any specific software in mind that you’re exploring? Engaging in discussions about better tools can help us all make informed decisions and avoid similar pitfalls in the future.
Thank you for sharing your detailed experience. It highlights an important aspect often overlooked when choosing payroll software: the importance of transparency and control over payroll data. Many small business owners assume that automation will handle all nuances, but as you pointed out, unexpected errors—especially those involving non-logged hours—can have significant financial and administrative repercussions.
A key takeaway is the value of implementing manual review processes or additional safeguards before processing payments, particularly when dealing with irregular hours or last-minute changes. Additionally, exploring payroll solutions that offer more granular controls, audit trails, or employee approval features might help prevent such issues.
Your experience underscores the importance of not only choosing reliable software but also understanding its limitations and maintaining an active oversight mechanism. For fellow entrepreneurs, thorough research—beyond marketing claims—and testing in a controlled environment can save considerable headaches later. Thanks again for raising awareness about this critical aspect of payroll management.
