Running a business comes with a variety of challenges, one of which is choosing the right tools for accounting and job tracking. As someone who has been in business for eight years, I have relied heavily on Waveapps. While it has served me well, offering many features I need, I’ve started to notice some limitations as my business grows. This has led me down an intensive research path, leaving me quite perplexed. Here’s a look at my journey, along with the options I’m considering.

My Current Accounting Needs

Having used Waveapps since launching my business, I benefit from being grandfathered into most features I require. Key functionalities include:

  • The ability to create quotes and invoices, with a specific focus on recurring invoices
  • Tracking expenses
  • Double-entry bookkeeping
  • Generating end-of-year reports for tax purposes

While the app has been largely beneficial for overseeing these tasks, I’ve begun to explore other software solutions to better support my evolving business needs, especially as everything we produce is custom and not inventory based. Typically, I’m managing 5-10 invoices per month with few repeat customers, which keeps things dynamic.

Exploring Alternatives: Xero and Zoho

My exploration has been nothing short of a rabbit hole. Xero seemed promising but I found myself questioning the cost to access essential features like expense tracking. It seems perplexing that connecting my bank and categorizing expenses, such as fuel purchases, could require a higher tier. Perhaps my understanding of their system is lacking?

Meanwhile, Zoho is an option that appears to provide a comprehensive suite of necessary tools at a more accessible price point. I’m currently trying out their basic tier to see if it meets my requirements.

Reflections and Simpler Solutions

Despite these exploratory ventures, I must confess that Waveapps continues to fulfill the majority of my needs. In fact, I sometimes consider reverting to simpler methods like using PayPal for invoicing and transactions.

It’s evident that my search has muddled my thoughts, but I remain committed to finding the perfect fit for my business. I’m hopeful that clarity will come as I continue to explore these solutions and gather feedback from other business owners who may have faced similar challenges.
